Knowvia Terms of Service

Knowvia is a school management and learning platform designed to help schools manage academic, administrative, communication, and learning activities.

Depending on the features enabled by a school, Knowvia may provide student management, admissions and enrollment, parent management, teacher management, classes and subjects, lesson notes, assignments, examinations, OMR-based assessment, results and report cards, attendance, school fees and payments, school announcements, timetables, school calendars, academic reports, notifications, and student, parent, teacher, and administrator portals.

Not every feature is available to every school or user. Features may depend on the school's subscription, configuration, role, permissions, or the version of Knowvia being used.

By using Knowvia, you confirm that you have read and understood these Terms, you agree to comply with these Terms, you will use Knowvia only for lawful purposes, the information you provide is accurate to the best of your knowledge, and you have the authority to use Knowvia on behalf of a school or organization where applicable.

If you are using Knowvia on behalf of a school, you confirm that you have the necessary authority to act on behalf of that school.

Knowvia may be used by different categories of users, including schools, school administrators, teachers, students, parents and guardians, and other authorized school staff. Certain features may require an account.

Schools using Knowvia are responsible for properly configuring and administering their accounts.

Knowvia may provide different permissions depending on the user's role. Administrators may manage school information, students, teachers, academic settings, fees, examinations, results, and other administrative functions. Teachers may manage lesson notes, attendance, assignments, examinations, scores, and other activities assigned to them. Students may access learning materials, assignments, examinations, results, timetables, and other features made available to them. Parents or guardians may access information relating to their children or wards, including academic records, fees, announcements, timetables, and report cards.

Access is controlled through role-based permissions and school configuration. Users must not attempt to access information or functionality that they are not authorized to access.

You agree to use Knowvia responsibly and lawfully. You must not:

Schools and authorized users may enter information into Knowvia, including student records, parent information, teacher information, attendance records, academic information, examination information, results, lesson notes, assignments, school announcements, timetables, fee information, and other school-related content.

The school or applicable user retains responsibility for the accuracy, legality, and appropriateness of information entered into the Service. Schools should ensure that information entered into Knowvia is accurate and kept reasonably up to date.

Knowvia processes such information to provide and operate the Service in accordance with the applicable agreement and our Privacy Policy.

Knowvia may process information relating to students who are minors. Schools, parents, guardians, and authorized school personnel must use student information only for legitimate educational and administrative purposes. Users must not use student information obtained through Knowvia for unauthorized purposes.

Schools are responsible for ensuring that appropriate permissions, authorizations, and notices are in place when required by applicable law. Knowvia does not permit the use of student information for unrelated advertising or the sale of student personal information.

Knowvia may provide tools for recording, processing, calculating, reviewing, approving, and displaying academic information, including continuous assessment scores, examination scores, OMR scores, assignment scores, grades, positions, attendance, affective traits, psychomotor assessments, teacher comments, report cards, and academic history.

Schools remain responsible for reviewing and approving academic records before they are officially published. Knowvia provides software tools for managing academic information but does not independently determine whether a student's academic performance, grade, promotion status, or other school decision is correct.

Schools are responsible for verifying results before publication.

Knowvia may provide tools for creating and managing assignments and examinations, including online assignments, objective and theory questions, online submissions, examination papers, answer keys, automated marking, manual marking, OMR scanning, and result processing.

Where automated marking or OMR technology is used, results may depend on the quality of submitted answers, scanned sheets, images, answer keys, configurations, and other inputs. Schools and authorized teachers should review results and correct errors where necessary before final approval.

Knowvia is not responsible for academic decisions made by a school based solely on an unverified automated result.

Knowvia may provide schools with tools for managing school fees and enabling online payments. Where online payment is enabled, users may be redirected to or interact with third-party payment providers. Knowvia does not necessarily process or store payment card credentials directly. Payment processing may be subject to the terms and conditions of the applicable payment provider.

Knowvia may integrate with or rely on third-party services, including services used for payments, SMS, email, push notifications, cloud infrastructure, authentication, analytics, file storage, and other technical services.

Third-party services may have their own terms, privacy policies, and requirements. Knowvia is not responsible for the independent operation, availability, or policies of third-party services. Where appropriate, users may be required to accept the applicable third-party terms before using certain features.

Knowvia and its underlying technology, software, designs, interfaces, branding, logos, documentation, and related materials are owned by or licensed to SoftPath Tech unless otherwise stated. These materials are protected by applicable intellectual property laws.

Subject to these Terms, Knowvia grants authorized users a limited, non-exclusive, non-transferable right to use the Service for its intended purpose.

Users may submit or upload content such as lesson notes, assignments, questions, announcements, comments, documents, images, and academic information. You retain ownership of content that you have the legal right to own.

By submitting content to Knowvia, you grant Knowvia the limited rights necessary to host, store, process, display, transmit, and otherwise use that content to provide the Service. You are responsible for ensuring that you have the necessary rights and permissions to upload or share the content.

We aim to keep Knowvia available and reliable, but we do not guarantee that the Service will always be uninterrupted or error-free.

The Service may occasionally be unavailable because of scheduled maintenance, software updates, infrastructure issues, network failures, third-party service interruptions, security incidents, force majeure events, or other circumstances outside our reasonable control.

We may temporarily restrict access where necessary to maintain security, perform maintenance, or improve the Service.

Knowvia is continuously developed and may be updated from time to time. Updates may add new features, improve existing functionality, fix bugs, improve security, change user interfaces, remove outdated features, or modify technical requirements.

You agree that Knowvia may install or require updates necessary for the continued operation, security, or improvement of the Service. Mobile applications may also require updates through the relevant app store.

Your use of Knowvia is also governed by our Privacy Policy, which explains how personal information is collected, used, stored, shared, and protected. The Privacy Policy forms part of these Terms.

You can review the Knowvia Privacy Policy through the applicable Knowvia website or application.

We implement reasonable technical and organizational measures designed to protect Knowvia and the information processed through the Service. However, no internet-based system can be guaranteed to be completely secure.

Users are responsible for maintaining the security of their accounts and devices. You should use strong passwords where applicable, avoid sharing login credentials, log out from shared devices, keep your device and software updated, and report suspected unauthorized access promptly.

If we reasonably believe that an account or system is compromised, we may temporarily restrict access while investigating or protecting the Service.

A school or user may stop using Knowvia subject to any applicable subscription or service agreement.

Knowvia is provided as a technology platform to support school administration and learning activities.

To the maximum extent permitted by applicable law, SoftPath Tech will not be liable for indirect, incidental, special, consequential, or similar losses arising from the use or inability to use Knowvia, including losses resulting from loss of business opportunities, loss of expected revenue, service interruptions, third-party service failures, user errors, incorrect information entered by users, or unauthorized access resulting from a user's failure to protect their credentials.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited under applicable law. For schools with a separate commercial agreement with SoftPath Tech, the liability provisions of that agreement may apply instead where applicable.

To the extent permitted by applicable law, you agree to defend, indemnify, and hold harmless SoftPath Tech and its officers, employees, contractors, and affiliates from claims, losses, liabilities, damages, and reasonable expenses arising from your misuse of Knowvia, your violation of these Terms, your violation of applicable law, your unauthorized use of another person's information, or content you submit without the necessary rights or permissions.

This provision does not apply to the extent that the claim results from SoftPath Tech's own unlawful conduct or liability that cannot legally be transferred.

SoftPath Tech may modify, improve, suspend, or discontinue parts of Knowvia from time to time. We may introduce new features, new plans, new pricing structures, feature limitations, changes to integrations, improvements to security, or changes to system requirements.

Where a change materially affects an existing paid service, we will provide notice where required by applicable agreements or law.

We may update these Terms from time to time. When we make significant changes, we may provide notice through Knowvia, email, website notices, or other reasonable communication methods.

The updated Terms will become effective on the date stated in the updated version. Your continued use of Knowvia after the effective date means that you accept the updated Terms, subject to applicable law.

These Terms shall be governed by the laws of the Federal Republic of Nigeria, unless applicable law requires otherwise.

If a dispute arises concerning these Terms or the use of Knowvia, the parties should first attempt to resolve the matter in good faith through communication and negotiation. Where the dispute cannot be resolved informally, it may be referred to the appropriate courts or dispute-resolution mechanism with jurisdiction under applicable Nigerian law.

For schools operating under a separate agreement with SoftPath Tech, that agreement may contain additional dispute-resolution provisions.
